Hiding and displaying rooms

You can choose which rooms are available to patrons. You may have rooms that you want to use at certain times of the year. Instead of creating the room again, you can simply hide it from patrons when it is not needed, and display it when it is needed. Any administrator with privileges to manage rooms can hide and display rooms in a profile.

From a patron’s point of view, hiding a room removes it from the room tree. In addition, Portfolio does not make the content of a hidden room available to be searched by patrons. Basically, when a room is hidden, it cannot be accessed in any way by patrons in that profile. However, administrators who have rights to the profile can access the room to edit content and other settings.

Hiding and displaying rooms is specific to each profile. Hiding a room in one profile does not hide the room in any other profile. These settings apply only to the room in the current profile. If you want to apply these setting to other profiles, use Cascade Room Settings to Profiles (for more information, see Copying room settings to other profiles).

When you a hide a room, you also hide all of the children that branch from that room. Conversely, when you display a room, all of the children of that room are made visible. If you want a room to be accessible by search but not through the room tree, you can hide the parent of the room (which hides all of the children), and then mark each room you want to make searchable as “visible.”

When you create a room, whether it is an empty room or includes content, the room is initially hidden in all profiles, including the profile in which you are working. This gives you time to create, edit and refine the content in the new room before publishing it for patrons to view.

Copying a profile copies all of the tree settings of that profile. All of the rooms marked visible or hidden will have the same settings in the copied profile. When you create a new profile, all rooms in the room tree are made available but hidden. You will need to adjust the availability and visibility settings as you need for the new profile.

Changes you make to the room tree structure or to room content will not be available to patrons until you run the SD_CONTENT_EXTRACTOR task. (For more information, see Managing scheduled tasks.)

To hide or display rooms

1 Log in to the Admin Console.
2 Choose Rooms from the navigation pane.
3 Select the profile in which you want to work.
4 Navigate to the room where you want to hide or display rooms.
5 In the Display column select the check box for each room you want to hide or display.

A check in the box indicates that the room is displayed for the patron. An empty check box indicates that the room is hidden from the patron.

Important: Whether you hide or display the room, Portfolio cascades that setting to all of the children of the room. Depending on the number of children, the process may take a few moments.
